Pursuant to RCW 9.41.110, as a condition of licensure, a retail gun "dealer" as defined in RCW 9.41.010 must provide, on an annual basis, information and documents to the Washington Attorney General concerning trace requests. This reporting requirement applies to retail dealers with a sales volume exceeding $1,000 per month on average over the preceding twelve months.

As authorized by RCW 9.41.110(14), the Washington Attorney General's Office provides and requires submission of this uniform form for annual dealer reporting. This form must be submitted by March 15th of each year for the preceding calendar year. When March 15th falls on a weekend, the form must be submitted by the following business day.

As a condition of licensure, a dealer shall annually certify to the relevant licensing authority, in writing and under penalty of perjury, that the dealer is in compliance with each licensure requirement established in RCW 9.41.110, including required trace request reporting to the Washington Attorney General.

Bulk Upload Option

To use this option, please download the template provided here, save the workbook to your computer, and either enter or paste the required information for each trace request in the appropriate workbook columns. Please ensure consistent MM/DD/YYYY date formatting where a date is requested. When you have completely entered all trace requests for the current submission, save your changes, and submit the workbook to our office using the upload dialog provided below (after uploading your workbook, make sure to click the “process” button to load your data into the system)

The form fields and/or the optional workbook template may be submitted as often as is needed to report additional trace requests.

Please ensure that this online form (sections 1 through 4) is filled out completely with each submission.

3 Required Documentation

Note: an FFL is not required to upload copies of the written trace requests it receives to the AGO’s reporting system. The FFL should instead input all required information regarding these trace requests using the form fields or bulk reporting option located in Section 2. However, our office reserves the right to request copies of written trace requests if it appears an FFL may not have filled out the trace request report correctly or completely.

If the records and communications you will submit include emails sent to or received from ATF, please ensure that all attachments to these emails accompany your submission. Attachments embedded as an icon in a transmittal email may not display automatically, and if so, must be uploaded separately.
